Administrative Assistant

Leaf VIP is seeking a highly organized Administrative Assistant to perform a variety of administrative tasks and assist with the operations team. Duties of this role include, but are not limited to, providing support to managers and employees, assisting in daily company needs, and managing general administrative/operational activities.

This position is 20-25 hours per week to start.

Responsibilities

  • Take ownership of weekly leadership meetings and monitor team action items throughout the week
  • Manage Leaf VIP’s virtual mailbox, deposit checks, and distribute mail as necessary
  • Act as an account administrator for Leaf VIP’s administrative, financial, and operational applications (Google, Zoom, Expensify, etc.)
  • Ensure team expenses are submitted and approved for payroll purposes
  • Regularly monitor company expenses and finances
  • Assist with various operational/HR duties such as employee and contractor onboarding, contract creation, offboarding, and updating company policies as applicable
  • Post job applications as necessary; review candidate resumes and communicate with applicants throughout the hiring process
  • Prepare communications such as emails, reports, spreadsheets, letters, and other correspondence
  • Manage executive emails, including scheduling, follow up, and regular inbox maintenance
  • Schedule both in person and video conferences, workshops, and special events with the Leaf VIP team or external clients/contacts
  • Post to social media accounts weekly and regularly engage with clients’ posts to support company partnerships
  • Create and maintain order in an electronic filing system
  • Maintain confidentiality with sensitive information and correspondence
  • Handle other administrative/operational tasks and ad hoc projects as they arise.

Skills And Experience

  • Self-starter, able to execute with minimal supervision
  • Capable of understanding situations independently and acting in accordance with company policies and objectives
  • Exceptional ability to manage office operations and oversee projects
  • Advanced ability to plan, schedule, and execute office-related events
  • Knowledge of administrative recordkeeping practices
  • Experience in handling confidential and sensitive information
  • Strong interpersonal and communication skills
  • Proficiency in Google Suite & Excel highly preferred
  • Ability to work well cross-functionally in a fast-paced environment
  • Creative & innovative problem-solver

Hourly rate is determined by experience in related fields and is negotiable for the right candidate with a stellar background and proven track record.
